General Description and objectives of the position

The main objective of the Events Assistant is to contribute to the successful implementation of the activities of the World Leadership Alliance Club de Madrid (Club de Madrid), ensuring the best
logistical conditions.

He/she will work under the direct supervision of the Events Manager in close coordination with all other Club de Madrid departments.

Location: Madrid (applicants must hold EU citizenship or valid work permit within the EU)
Indefinite contract, with trial period. Full time position
Gross annual salary: 18,000€ ‐ 19,800€

Main Tasks

In coordination with relevant Club de Madrid Secretariat staff, and under the supervision of the
Events Manager, the Events Assistant’s tasks include, among others:

Travel Logistics

  • Identify the most convenient itineraries and accommodation for travelers and manage the purchase and delivery of plane tickets, reservation of hotel rooms and travel insurance;

  • Provide travelers with all relevant information before the travel. If necessary, collaborate with the traveler in order to obtain the visas and vaccines necessary;

  • Whenever feasible, cooperate in the management of the opening and access of the Members of Club de Madrid to the authority’s rooms. Inform the embassies or pertinent authorities of the arrival of Club de Madrid Members;

  • Provide travel assistance by managing any possible incidents for better resolution;

  • Support the management of expenses (budget availability, authorizations, invoices…)


Online Events:

  • Assist in the preparation and design of the events, including the creation of the Graphic Contents on the events online (invitation, banners…) and potentially video editing;

  • Support implementation using Zoom, Meets, ...
